EXHIBITORS REGULATIONS

LIVESTOCK GATE ENTRY

1.      123Tix will provide passes for vehicles, which will require the submission of vehicle registration numbers. Vehicle Passes are not transferable & will be scanned on entry.  Entry via Gate 5. All Exhibitors are required to remove their vehicle immediately once livestock has been unloaded. Chief Steward will advise designated parking area. No vehicle movement after 8.30am on show days.

2.      Day exhibitors in horse events must enter via Gate 4, bottom Wingewarra Street gate, no vehicle pass is required.

3.      Horse competitors with camping/stabling to enter via Gate 1, Fitzroy Street. A vehicle pass is required.

4.      Sheep, Pigs, Yard Dogs & Woodchop competitors must enter by Gate 5, Wingewarra Street, & traverse alongside the back fence, before 8.30am each morning of the show. A vehicle pass is required.

5.      Exhibitors with cattle must enter via Gate 5, top Wingewarra Street gate. A vehicle pass is required.

6.      Kennel Club Show Dog Exhibitors must enter via Gate 5, top Wingewarra Street gate. No vehicle pass is required.

7.      Stud Pass: For $55, you can acquire a Stud Exhibitor Pass, which includes admission for three (3) individuals throughout the duration of the show. This Stud Pass can only be purchased at the time of submission of entries & will not be available at any other time. Additional one day passes may be pre-purchased for $15 per person/per day at time of submission of entries if required.

COMMERCIAL SPACE

1.      Ground & Pavilion space shall be made available at the discretion of the Committee of the Society, to any person, firm, agent, or representative for the display of machinery, motor vehicles & general display purposes.

2.      Applications for space will be made in writing, stating the size of allotment required & the purpose for which it shall be used.

3.      Outdoor exhibitors will be issued with 2 x 3-day passes & 4 x 1-day passes. Indoor exhibitors will be issued with 2 x 3-day passes. Additional passes can be purchased at the time of application for space, for a fee of $15 per one day pass or $20 at the gate.

4.      All commercial exhibitors are to be erected & operational by 9am on Friday the first day of the show & not to be dismantled before 4pm Sunday of the show.

5.      The demonstration of any power tools & the use of public address equipment in the pavilion is prohibited.

6.      No TV aerials or other structures may be erected on the pavilion roof, such structures must be erected outside the pavilion.

7.      All chainsaws or other noisy power tools etc. must be fitted with silencers & operation is limited to the first five minutes of every hour.

8.      AUCTION SELLING WILL NOT BE PERMITTED ON THE GROUNDS DURING THE SHOW, NOR THE SELLING OF RAFFLE TICKETS.

9.      No site is guaranteed.

GENERAL REGULATIONS

1.      The name, residence & district of the exhibitor, the class of animal intended for exhibit, the pedigree of stud stock, the name of the breeder, so far as known, & of sheep the date of lambing, must be given to the Secretary with entry, If any doubt arises as to correctness of the declaration of any exhibitor, such exhibitor shall not be entitled to any prizes which may be awarded to him or her until the committee have satisfactory proof that the declaration is correct, & any exhibitor having made a false declaration shall be subject toa all or any of the following penalties: Forfeiture of prize, non-permission to exhibit again, & expulsion for the society.

2.      The competing exhibits must be delivered in the show ground at the advertised hour & shall be classed & distinguished by the exhibitor’s entry card affixed to each entry before they are placed on the showground.

3.      All exhibits, on the day of the show must be the bona-fide property of the exhibitor, & shall, during the show, be under the control of the stewards who shall have the power to expel from the show ground any person, in their opinion, interfering unnecessarily therewith. In the event of an exhibitor disposing of an exhibit between the day of entry & the day of exhibition, notice in writing of the sale, together with the name & address of the purchaser, must be forwarded to the Secretary of the society. All cows not unmistakably in calf must be certified to have bred within two years.

4.      All Fine Arts, Handicrafts, Photography, Cookery, Agricultural, Fruits, Flowers & Vegetable entries must be the work of or grown by the exhibitor.

5.      Exhibitors in Fine Arts section to place in a conspicuous position on each package or picture the exhibitor’s entry card.

6.      Exhibitors, please note special conditions at the beginning of each section.

7.      In the event of there being, only one exhibit in any class, the awarding of 1st place will be left to the discretion of the judge.

8.      It shall be an instruction to Judges in all sections that if, in their opinion, any exhibit or exhibitor should be disqualified for any reason whatsoever, they shall pass them without comment but may report the matter to the Chief Steward of the section.

9.      Protest an award must be lodged in writing with the stewards of the section, or at the Secretary’s office within half hour of the award being made in all livestock sections, or before 5pm on the first day of the show in all pavilion exhibits. The protest must be accompanied by a fee of $50 to be forfeited if the protest is deemed by the stewards to be frivolous.

10.   No person other than officials or press representatives to be allowed in the ring with the judges during competition.

11.   Damage through exhibits - the society will not be responsible for any accident that may be caused through or by any exhibit or to any person taking part or in any way connected with any race, contest, exhibition of performance, & it shall be a condition of entry that each exhibitor or other such person afore said shall hold the society blameless & indemnify it against any legal proceedings from such accident.

12.   Damage to exhibits - the society will not, in any circumstances, hold itself responsible for any loss or mis delivery of livestock, or other exhibit at the society exhibition, or any damage thereto.

13.   Loss by Disease - The signing of the Certificate of Entry of any animal shall be taken as a guarantee that the animal specified is free from all disease, so far as is known to the owner. In case of infectious disease being spread through or by any exhibit, the exhibitor shall be held responsible. Exhibitors are required to adhere to all animal welfare and biosecurity regulations. This includes compliance with the Prevention of Cruelty to Animals Act 1979 (NSW) and the Biosecurity Act 2015 (NSW). Exhibitors may be required to submit Department of Primary Industries (DPI) animal health declarations prior to stock entering the grounds.

14.   The committee reserves the right of refusing or cancelling any entry, without giving reasons by doing so. The decision of the committee on all points shall be final & no correspondence will be entered into.

15.   The committee reserves the right of adjudication on any questionable entry or other point not provided for in the Rules &/or Regulations of the Society, & of making any alterations that may be deemed necessary.

16.   The committee reserves the right to at any time postpone the Exhibition, or any event thereof, in consequence of the inclemency of weather, or other sufficient cause to a date or dates deemed suitable by the Committee, & no entrance fees shall be returnable in the event of such postponement. The reasonableness of the cause or causes for postponement shall be decided by the committee, & its judgement shall be conclusive, & not open to question by an exhibitor or other persons affected by such postponement.

17.   The committee may abandon the exhibition or any event there of through wet weather, or by any reason which my make such course advisable. Should the exhibition or any event be abandoned or cancelled, exhibitors shall be entitled to the return of the entry fee paid, but cause of action, liability or obligation shall be maintained or incurred by the Committee, or by the society by reason of such abandonment or cancellation.

18.   Notwithstanding the dates fixed for the departure of the several exhibits, the Secretary reserves the right to retain all or any of them for such further time as the Committee may consider necessary, & no exhibit without a formal permit from the Chief Steward of the section or Secretary shall be removed from the exhibition.

19.   The attention of exhibitors is specially drawn to the foregoing regulations. Any disregard of the same will render the exhibitor liable to be disqualified.

20.   PRIZE WINNERS PLEASE NOTE: Prize money will be paid except Section A, from the show office between the hours of 3pm to 5pm Friday of the show 11am to 1pm & 2pm to 5pm on Saturday of the show & 11am to 1pm & 2pm to 4pm on the Sunday of the show. Prize money will be paid according to the awards made by the Judges Book, duly signed by the judge. ALL prize money must be collected by 30th June or will be forfeited as a donation.

21.   Holders of member’s tickets have free admission to the ground for one (1) member plus three (3) guests.

The Ground Supervisor will advise of any designated parking area if available. No vehicle movement after 8.30am on show days.

23.   All perpetual trophies will be retained by the society after presentation.

24.   Competitors not complying with horse stall allocations & regulations will not be eligible to compete in any horse events.

25.   ACKNOWLEDGEMENT, RELEASE, & INDEMNITY: Each exhibitor in consideration of the Society accepting one or more of the exhibitor’s entries:

a) Acknowledges & agrees that the exhibitor participates in any competition or event conducted during the show wholly & solely at the Exhibitor’s own risk of injury to his person or property.

b)  Releases the society & its servants & agents at the time of participation, from & against any & all liability for personal injury or damage to the exhibitors property which the exhibitor may receive, sustain or incur directly or indirectly as a result of the negligence or alleged negligence of the society & its servants or agents aforesaid resulting from or arising out of any accident or happening whilst the exhibitor is on the society’s show ground or elsewhere under the control of the society its servants or agents whether or not such accident or happening occurred whilst the exhibitor for himself, his executors administrators & any person claiming through or under him indemnifies & holds the society, its servants & agents aforesaid indemnified from & against all claims, demands, suits, actions, damage cost & expenses which the exhibitor or any person engaged by the exhibitor might be entitled to make or bring against or which may become payable by the society by reason of or arising from or out of directly or indirectly any such accident or happening or by reason of any act or omission on the part or any such person engaged by him found in any action against the society to be negligent shall be deemed to be negligence for the purpose of any claim under the aforesaid indemnity.

26.   Exhibitors enter at their own risk.

27.   Exhibitors must uphold the Dubbo Show Society Inc. WHS Policy and adhere to the Work, Health and Safety Act 2011(NSW).

28.   MOTORISED SCOOTERS are not permitted on the Show Ground. Note: this is not a law created by ENSW, but by Transport for NSW. More information regarding the law on this matter can be found here: E-scooters - Staying safe - NSW Centre for Road Safety. Mobility scooters designed for the mobility impaired are allowed.

29.   Do not bring pet dogs to the show. They are strictly prohibited, & you will be denied access to the grounds. The ONLY dogs allowed on the grounds are registered assistance &/or guide dogs plus those competing in events within the dog arena. All dogs on the grounds MUST have an approved bio security health declaration. Owners who bring dogs onto the grounds without the required paperwork will be asked to leave immediately or a Ranger will be called.

30.   Exhibitors must comply with all applicable WORKING WITH CHILDREN LEGISLATION. The exhibitor agrees to produce on demand, at least 1 month before competition, evidence of working with children checks for themselves, their employees or volunteers who are involved in a child-related role or have direct unsupervised contact with children.

32.   Where applicable, Waiver Forms must be signed and Wrist Bands worn.

 

MOST SUCCESSFUL EXHIBITOR will be awarded on a point score basis: 1st - 3 points, 2nd - 2 points, 3rd - 1 point. 

GRAND CHAMPION - 3 points, CHAMPION - 2 points, RESERVE CHAMPION - 1 point.
